Travel Policies

Travel planning works best when expectations are clear from the beginning. These policies explain how Ingenuitive Journeys handles reservations, airfare, payments, changes and other important parts of the planning process.

Airfare

For most trips, clients book their own airfare directly with the airline, unless airfare is included or arranged as part of a tour operator, vacation package, or other supplier booking.

This is intentional. When flights are delayed, canceled, or disrupted, travelers who book directly with the airline generally have the most direct access to the carrier for rebooking, schedule changes, credits, and other assistance.

Ingenuitive Journeys is happy to help you think through flight timing, arrival and departure airports, connection considerations, and how your flights fit with the rest of your itinerary. We may also recommend flight options for you to consider.

When airfare is included or offered as part of a tour operator or supplier package, Ingenuitive Journeys may arrange the airfare as part of that booking. Otherwise, unless we have specifically agreed to arrange airfare for your trip, you will make and manage the airline reservation directly.

If you book airfare independently, please provide your confirmed flight information so that transfers, hotels, tours, and other itinerary components can be coordinated appropriately.

During flight disruptions: If you booked your flights directly, the airline should be your first point of contact for cancellations, delays, missed connections, seat changes, and rebooking. If airfare was booked as part of a tour operator or supplier package, contact Ingenuitive Journeys and/or the supplier as directed in your travel documents. We will also assist with other booked travel arrangements when a flight disruption affects portions of your itinerary arranged through Ingenuitive Journeys.

Travel Planning & Reservations

Ingenuitive Journeys provides personalized travel planning and coordinates travel arrangements through established travel suppliers.

Depending on your trip, this may include accommodations, tours and activities, transportation, transfers, cruises, vacation packages and other travel components.

Not every trip requires every service. We’ll determine what makes sense based on your destination, travel style and the type of assistance you need.

Pricing & Availability

Travel pricing and availability can change until a reservation has been confirmed and any required payment has been received by the applicable travel supplier.

Quotes are based on availability at the time they are prepared and should not be considered guaranteed until confirmed.

Circumstances Beyond Our Control

Travel sometimes changes for reasons no travel advisor can prevent. Weather, flight delays and cancellations, supplier operations, strikes, government actions, closures, natural events and other circumstances may affect even the best-planned trip.

Ingenuitive Journeys cannot guarantee the performance of airlines, hotels, tour operators, cruise lines or other independent travel suppliers, nor can we guarantee circumstances beyond our control.

What we can commit to is thoughtful planning, clear communication, accurate handling of the arrangements entrusted to us, and advocacy when an issue affects travel booked through Ingenuitive Journeys. When something changes, we’ll help you understand your options and work with the appropriate supplier when possible.

That gets the important distinction across without sounding defensive or like you’re trying to disclaim everything before they’ve even booked.

Payments

In most cases, payments for travel arrangements are made directly to the travel supplier, rather than to Ingenuitive Journeys.

Before you authorize a reservation, you’ll receive the applicable pricing, deposit requirements, final-payment deadlines and cancellation terms.

Any separate professional planning or service fee charged by Ingenuitive Journeys will be disclosed before work requiring that fee begins.

Changes & Cancellations

Changes and cancellations are subject to the terms of the individual airline, hotel, tour operator, cruise line or other travel supplier.

Supplier penalties, nonrefundable deposits, fare differences and other charges may apply. Ingenuitive Journeys will help you understand the applicable terms for arrangements we make, but we cannot waive or override a supplier’s policies.

Travel Insurance

Travel insurance is an important consideration when planning a trip and will be discussed early in the planning process.

Ingenuitive Journeys does not sell or provide travel insurance. When travel protection is available through a travel supplier or an authorized insurance provider, clients may be directed to that provider to review available coverage and make their own purchase decision.

Coverage, exclusions, eligibility, benefit limits, pricing and claim decisions are determined solely by the insurance provider. Travelers are responsible for reviewing the policy information provided by the authorized provider and determining whether the coverage is appropriate for their needs.

Passports, Visas & Entry Requirements

Travelers are responsible for ensuring that they have the passports, visas and other documentation required for their trip.

Ingenuitive Journeys can provide general information and direct you to appropriate resources, but entry requirements can change and final responsibility for meeting government requirements remains with each traveler.

Names provided for reservations should match the traveler’s identification and travel documents exactly.

During Your Trip

If a problem involves an arrangement booked through Ingenuitive Journeys, contact us and we’ll help determine the appropriate next step and work with the applicable supplier when possible.

For emergencies involving health, safety, immigration, law enforcement or other urgent matters, travelers should contact the appropriate local authorities, emergency services, travel insurer or government resources directly.
